Relieving and experience letter
What should a relieving and experience letter say when an employee leaves?
Fill in your details for a free Word and PDF copyA relieving letter confirms that the employer has released the employee from service on a stated date. An experience letter records the designation and the period worked. Most employers issue both as one letter, and it is what the next employer asks for.
The sources we read for this document set no form for this letter. The letter below keeps to facts you can check: the joining date, the last working day, the relieving date, the designation and how the employment ended. A line on conduct is optional, and you can leave it out.
Wages are a separate matter from the letter. Section 17(2) of the Code on Wages, 2019 says that where an employee has resigned or has been removed, dismissed or retrenched, wages are paid within two working days of that event. The letter can record the date your dues were settled, or say that settlement will follow separately.

Common questions
Is an employer required to give a relieving or experience letter?
The sources we read for this document do not set out a duty to issue one, and no section prescribes its form. Employment terms or company policy usually decide it. Check the appointment letter and any standing orders that apply before you decide.
What is the difference between a relieving letter and an experience letter?
A relieving letter confirms the employee has been released from service and gives the date. An experience letter states the designation and the period of service. The letter above does both in one page.
Should the letter mention why the employee left?
Say only what the record supports. The form offers three neutral descriptions: the resignation was accepted, the term ended, or it ended by mutual agreement. The letter does not describe misconduct or performance.
Does the letter have to say that dues are settled?
No. You can say the dues were settled on a date, or that settlement will follow separately. Section 17(2) of the Code on Wages, 2019 sets two working days for paying wages after a resignation, removal, dismissal or retrenchment, so the first option fits where you have already paid.
